The opportunity

We are looking for a Tenant Coordinator to join us onsite in Athens. The brand new scheme kicking off includes a major high rise residential project, a mall complex, luxury retail development and modern office space.

We are looking for someone to be a collaborative leader of the tenant coordination process including negotiation, design, construction, and handover phase of the various retail units with recognised technical capability, tenant experience and expertise on large, complex building projects.

Duties:

Pre-Construction

• Work closely with the Project Senior Project Manager.
• Work closely with Design Consultants and Contractors (ECI, Early Works and Main Civil Works).
• Liaise with the Owner and its commercial, leasing, legal, asset management and property management departments
• Monitor and control all tenants activities, including negotiation, formation of agreements, design, construction and handover phase of the various retail units
• Provide oversight of contract administration and keep track of all the agreements related to Tenants
• Liaise with the Owner and its teams to keep track of the variation requests of Tenants
• Organise meetings and track their outcomes, assuring proper and effective communication with all involved stakeholders
• Provide support to the Owner regarding the resolution of Tenants requirements
• Provide support to the Owner regarding the design packages submitted by the Tenants and liaising with the Owner's Consultants for their timely review and approval, promoting the overall development, the units' leaseability and the optimality of the Tenants' programs and plans
• Keep a record of all statutory approvals acquisition related to the design and construction phase of the retail units
• Contributes to project's monthly and weekly reporting drumbeat

Construction

• Work closely with the Senior Project Manager
• Liaise with the Owner's contractors for the monitoring of the works executed for the retail units
• Facilitate the timely completion of all works related to Tenants and the opening of retail units for trade
• Conduct visits to the retail units during the execution of the works to assure progress as per the agreed schedules
• Meet regularly with Project Construction leads to coordinate tenant related activities.
• Undertake regular on-site progress reviews and support recording of contractor progress through photographic records and the maintenance of a contemporary record of progress that could be used in the case of any disputes.
• Collaborate with the project's Quality Manager, Quality Inspectors, Contractor and to establishing the project's Inspection & Testing Plan (ITP) relating to Landlord tenant provisions and key Tenant provisions that impact on Landlord.
• Review the Tenant Operational Licenses (Final Performance Certificate) during the Tenant unit Close-out stage.
• Escalate key issues, risks and opportunities as they arise during construction to the Project Director.
• Collaborate with all other applicable stakeholders towards identifying and resolving construction interfaces within the project boundaries.

Skills and experience:

• 10 to 15 years of experience in similar role
• Strong experience in commercial and real estate sector
• Excellent organizational and communication skills
• Experienced leader and decision maker with the ability to delegate, motivate and empower individuals and teams
• Strategic thinker with the ability to critically analyse and challenge in the pursuit of new and effective ways of working
• An ability to work in a virtual team environment
• Ability to work with internal and external stakeholders, building excellent working relationships with Employer representatives
• Exceptional listening, communication and presentation skills. Must be able to work well with people at all levels of the project
• Strong organisational skills and personal resilience to working to strict timelines/different styles of leadership/getting things done
