We are seeking a highly organized and proactive Operations Officer to join our school in Cholargos. The successful candidate will oversee the day-to-day operations of the school, ensuring that all departments function smoothly and efficiently while upholding the highest standards of educational support and service. In addition, the role plays a pivotal part in reviewing, optimizing, and strengthening internal processes, ensuring they are efficient, scalable, and fully aligned with the school's core values and mission.
Responsibilities
1.
Operations (60% of total effort)
A. Oversee day-to-day school operations: Ensure that all operational aspects of the school run smoothly and efficiently, including handling administrative requests, coordinating class schedules, and overseeing student enrollment and registration processes.
B. Collaborate with academic departments: Work closely with academic faculty to support the effective delivery of the curriculum and ensure students receive a high-quality educational experience.
C. Maintain facilities and resources: Ensure that school facilities are well maintained and safe, and that all necessary equipment, materials, and operational resources are available and functioning properly.
D. Classter Management: Maintain strong working knowledge of Classter, the school's integrated software system for operations, academics, and accounting. Stay up to date with system updates and enhancements, ensure its effective day-to-day use, and support staff in maximizing its functionality.
E. Onboarding and Retention: Ensure a structured and seamless onboarding (induction) process for new hires. Provide continuous support and guidance to facilitate their successful integration into the school's culture, systems, and operational processes, contributing to long-term engagement and retention.
F. Continuous Improvement & Growth: Proactively identify opportunities for operational growth and process improvement. Collaborate with the management team to design and implement initiatives that enhance efficiency, service quality, and overall school performance.
2. Public Relations & Sales (20% of total effort)
A. Prospective Student Engagement: Present the school's philosophy, values, and distinctive culture in a clear, confident, and compelling manner, effectively communicating what sets the school apart from competitors.
B. Admissions Support: Respond promptly and professionally to expressions of interest through personalized emails, phone consultations, and scheduled in-person appointments. Proactively guide and follow up with prospective students and families throughout the admissions and registration process to ensure a smooth and positive experience.
C. Relationship Management: Develop and maintain strong, trust-based relationships with students, parents, and staff. Address their needs effectively and professionally, fostering high levels of satisfaction, engagement, and long-term commitment within the school community.
D. Marketing Collaboration & Educational Positioning: Actively engage in discussions and initiatives related to current educational standards, emerging trends, and foreign language proficiency requirements. Collaborate closely with management team to ensure consistent messaging and alignment with the school's brand and strategic objectives.
3. Accounting (20% of total effort)
A. Cash Registry: Keep track daily of the cash flow (with breakdown to cash, credit card & bank transfer / deposits).
B. Receipts: Issue all students' receipts or invoices monthly. Send monthly reports to the accountant.
C. Income Statements Preparation: Prepare Monthly Profit & Loss Statements on an Accrual Basis to track performance as measured by gross profit & EBIDTA.
Qualifications
Bachelor's degree in business, economics, management information system or any other related field with strong math background.
Minimum of 3 years of experience in operations management, preferably in a school setting.
Excellent written & verbal communication skills in Greek and English.
Working knowledge of MS Office applications and general comfort with IT systems.
Problem solving mindset and enthusiasm for innovation.
Strong analytical skills with attention to detail.
This role requires a strong understanding of the education sector, excellent communication and networking skills, and a genuine passion for optimizing and enhancing internal processes. Compensation Package
- Financial Benefits
Gross Salary: € 1.050 per month under the regime of IKA. The contract is on an indefinite basis starting March 1
st
of 2026.

Working Schedule:
Mondays – Fridays 16.00 to 22.00
.
Might be asked to work a few Saturdays (throughout the year), for training purposes. During periods of heavy workload, additional working hours will be paid extra.
